Accessibility & ADA Support

Inclusion is Safety

Accessibility is harm reduction. Harm Reduction Circle ensures that every guest—regardless of mobility, sensory needs, or physical ability—can participate safely, comfortably, and without barriers. We collaborate directly with event organizers and ADA coordinators to embed accessibility into harm-reduction planning and real-time operations. From arrival and navigation to sanctuary and rest spaces, our approach prioritizes inclusion as a central part of event safety, not a secondary concern.

Our team bridges communication between ADA staff, medical teams, and security to ensure quick, compassionate responses to guest needs. We identify obstacles early, adapt to changing site conditions, and maintain visibility throughout the event to ensure every attendee receives equitable access to care, comfort, and safety.

Pre-Event Planning & On-Site Coordination:

Before the event begins, we review site layouts, mobility routes, and ADA zones alongside your operations team to anticipate accessibility challenges. During the event, our trained peers assist with navigation, wayfinding, and guest support while maintaining clear coordination with ADA, medical, and security teams. Harm Reduction Circle can also assist with the logistics and coordination of ADA-compliant rentals or equipment purchases (e.g., ramps, accessible restrooms, shade structures, seating, or signage).

On-Site Accessibility Support Includes:

  • Mobility Assistance & Guest Escorting: Helping guests navigate uneven terrain, steep inclines, or dense crowds; providing arm-in-arm escort when requested.

  • Wheelchair & Mobility Device Support: Assisting guests with maneuvering, identifying accessible routes, and ensuring charging or maintenance needs are met.

  • Real-Time Department Coordination: Maintaining direct communication with ADA, medical, and operations teams for rapid response to accessibility needs.

  • Wayfinding & Signage Support: Checking placement and visibility of ADA signage; guiding guests to ramps, restrooms, first-aid stations, and accessible viewing areas.

  • Accessible Path Monitoring: Conducting regular walk-throughs to ensure routes remain clear of obstructions, cables, or temporary structures.

  • Seating & Rest Area Management: Setting up and maintaining shaded or climate-controlled rest zones for guests who need breaks, hydration, or decompression.

  • Sanctuary Integration: Ensuring sanctuary spaces and chill zones include ADA-compliant seating, lighting, and sensory-friendly accommodations.

  • Sensory Support: Providing calm, low-stimulus environments and grounding tools for guests with sensory sensitivities, neurodivergence, or PTSD triggers.

  • Hydration & Comfort Support: Offering water, electrolyte packets, and cooling items in accessible zones to reduce risk of heat exhaustion or dehydration.

  • Accessible Transportation Assistance: Coordinating shuttle or golf-cart escorts between entrances, camping zones, medical areas, and ADA sections when available.

  • Lost Guest & Reunification Assistance: Supporting guests who become separated from companions or caregivers through calm, trauma-informed engagement.

  • Continuous Accessibility Walk-Throughs: Proactive site checks with security and production leads to identify and address barriers as conditions change.

  • Documentation & Debriefing: Recording ADA-related observations, interventions, and improvements for inclusion in the post-event report.

  • Vendor & Rental Coordination: Managing delivery, setup, and retrieval of ADA-compliant equipment—such as ramps, accessible toilets, or seating areas—while ensuring all vendors meet regulatory standards.

  • Procurement Logistics: Assisting organizers with sourcing verified ADA-compliant rentals or purchase options from trusted suppliers.
